HIPAA-Compliant Analytics and Tracking for Clinics
Complete website compliance for single-location practices. Sounder handles analytics, video, maps, and forms—so you can focus on patient care, not compliance headaches.
You’re a Professional Practice, Not a Small Business
Your plastic surgery practice does millions in revenue. Your orthopedic clinic has 4 surgeons and a full marketing budget. Your fertility center invests $50K/month in patient acquisition.
You’re not a “mom and pop” operation—but other compliance vendors treat you like one:
What Others Offer
- Enterprise platforms want $50K+ per year and require dedicated IT resources you don’t have
- DIY solutions assume you have time to become a compliance expert
- “Small business” tools don’t understand healthcare compliance complexity
What Sounder Offers
- Compliance done FOR you, not BY you
- A managed solution by a veteran of healthcare digital marketing, not a startup’s software platform you have to set up and manage
- Professional-grade tracking and attribution (prove your marketing ROI)
- Right-sized pricing (starting at $926/month, not $50K+/year)
- Simple compliance implementation, not hundreds of enterprise features you’ll never use
- A managed service, not a software platform (because you don’t have an IT department)
That’s exactly what Sounder is.
High-Revenue Specialties Are High-Risk for HIPAA Violations
Not all clinics face the same compliance scrutiny. If you’re in a high-visibility, high-revenue specialty, you’re a bigger target.
Specialties we commonly serve (and why compliance matters MORE for you):
- Plastic Surgery & Medical Aesthetics
- Fertility & Reproductive Health
- Orthopedics & Sports Medicine
- Dermatology
- Dental/Oral Health
- Vision Care
- Urgent Care
- Bariatrics & Weight Loss
- Mental Health & Psychiatry
- Concierge Medicine & Executive Health
- Treatment Centers: Dialysis, Infusion, Integrative
If you’re investing in marketing, you’re likely using tracking technology—which means HIPAA risk.
The Four Compliance Violations Many Clinic Websites Have
Even with one location, you likely have all four HIPAA violation types.
Analytics Violations
The Problem: Google Analytics on your website sends visitors’ data (including PHI and PII) to Google without a BAA.
What specialty clinics need:
- Track which marketing channels work (PPC, SEO, social, referrals)
- Prove ROI to optimize and justify your marketing spend
- Understand your patients’ journey (which pages before they book?)
- Attribution from ad click to booked consultation
- Dashboard you can easily review and understand
Sounder Analytics for Clinics:
- Make Google Analytics HIPAA compliant
- Track campaigns, sources, landing pages, conversions
- Simple dashboard (not enterprise complexity)
- Integration with your CRM or appointment system
- Monthly reports showing what’s working
- UTM tracking preserved (know which social media ad drove bookings)
Video Violations
The Problem: YouTube videos embedded on your pages send PHI and PII data to Google.
What specialty clinics need:
- Compliant embedded videos that look and act like YouTube videos
- Easy system to manage videos, no technical people needed
- Ability to continue using YouTube as a marketing and social media tool
- Optimized delivery to all device sizes
- Fast, reliable streaming like YouTube
Sounder Video for Clinics:
- Easy and simple enough that your front desk team can do the work
- Quick migration of existing videos
- Easily replace YouTube videos by replacing embed codes
- Flat fee with competitive prices
- Month-to-month contract
- Fast delivery using Akamai (world’s largest CDN)
Maps Violations
The Problem: Embedded Google Maps transmit visitor PHI and PII to Google.
What specialty clinics need:
- Show your location(s) clearly
- One tap/click to driving directions
- Parking information for patients
- Appearance similar to Google Maps
- Easily updated
Sounder Maps for Clinics:
- Interactive, compliant map for contact pages
- Show your office (custom or Street View photo)
- Parking information
- “Get Directions” button for patient’s phone
- Custom styling to match your brand
- Update via Google Sheet, Excel, or WordPress backend
- Update hours/info without calling webmaster
Forms Violations
The Problem: Contact forms, consultation request forms, patient intake—if not on a HIPAA-compliant platform with BAA, your practice is at risk.
What specialty clinics need:
- Compliant forms with minimum fuss
- Good looking forms that actually convert
- Forms that integrate with practice management system
- Mobile-friendly
Sounder Forms for Clinics:
- We evaluate your needs and recommend the right platform
- Implement the HIPAA-compliant form system
- Rebuild forms on the new platform
- Integrate with your practice management system
- Build multi-step forms (better conversion)
- Train your team to manage forms
- Ongoing consulting as needed

Frequently Asked Questions
We’re just one location with one doctor. Are we really at risk?
Yes. OCR doesn’t adjust fines based on practice size. A $50,000 HIPAA fine is the same whether you’re a solo dermatologist or a 500-bed hospital. And high-revenue specialties (aesthetics, fertility, orthopedics) are actually at higher risk because they usually invest heavily in digital marketing, which nearly always means more tracking technology violating HIPAA.
Can’t we just use Google Analytics with IP anonymization turned on?
No. Google doesn’t offer a Business Associate Agreement (BAA) for standard Google Analytics. Even with IP anonymization, you’re still transmitting visitor data to Google servers without proper HIPAA protections. Google Analytics 4 has the same issue; it’s not compliant.
We already have a website and/or a digital marketing company. Do we need to switch to you?
No, we don’t do website design or development. We only handle HIPAA compliance (analytics, video, maps, forms). If you like your current web developer, they can continue doing design, content, SEO, etc. We just plug in compliant tracking tools. We often work alongside website agencies.
What if we use Squarespace or Wix, not WordPress?
We support non-WordPress platforms, though implementation is slightly more involved (uses JavaScript/APIs instead of plugins). Everything usually works fine, just takes a bit more time for setup. WordPress is just easier because we have native plugins.
Our office manager isn’t technical. Can she manage this?
Yes, that’s the whole point of our managed service. Your office manager doesn’t “manage” anything technical—we do. She just looks at monthly reports (simple dashboards) and emails us if she needs a new form or has a question. No technical skills required.
Do we have to sign a long-term contract?
No. Month-to-month after initial implementation. We’re confident you’ll stay because the service works and you need compliance—not because you’re locked into a 3-year contract.
What happens if we get audited by OCR?
We provide documentation: BAAs from all vendors, compliance reports, proof of proper configuration. We can’t prevent an audit, but we give you everything you need to demonstrate compliance efforts.
We do a lot of before/after content on Instagram and Facebook. Is that compliant?
Social media is separate from website compliance. Posting before/afters on Instagram (with patient consent) is generally fine. The HIPAA risk is embedding Instagram feeds on your website (which loads Instagram tracking pixels). We can help you display social content compliantly on your site.
What if we sell products (skincare, supplements) on our website?
E-commerce adds some complexity (payment processing, order tracking) but doesn’t change core compliance needs. We handle analytics and forms for your e-commerce pages very similarly to service pages. If you use Shopify/WooCommerce, we integrate tracking there too.
Can we start with just analytics and add video/forms later?
Yes, but a large percentage of practices have violations in multiple areas. We recommend starting comprehensively to eliminate all risks at once. If your budget requires phasing, we can start with analytics + forms (the highest priorities), then add video/maps later.
